With three to five technicians, the owner can’t check every stop personally. You need routing for several people, required readings and proof at each stop, office controls, and pricing that stays sensible as you hire. At this size, I’d look at Skimmer or Pool Brain first.
I’m Parker Conley, the founder of PoolDial, so read this as a vendor’s guide rather than an independent ranking. I’ve ranked the products by what a three- to five-technician team needs and explained each one’s tradeoffs, and my own picks are labeled as opinion below.
Once you have three or more technicians, I’d look at Skimmer or Pool Brain first. Skimmer is the established, reliability-oriented choice, with Enterprise controls for when you get bigger. Pool Brain is built around configured workflows and technician accountability, and its per-technician formula comes in lower than per-pool pricing from three technicians upward.
PoolDial can still fit the lower end of this range. Today it suits owners up to roughly 200 pools and a few employees. If you’re well past that, or planning several crews, start with Skimmer or Pool Brain.
The ranking
Here’s what I weighed for this size of company, then the products in order.
Price as you hire. At this size, per-technician pricing often beats per-pool pricing. Pool Brain comes to $245 a month at three technicians and $375 at five; per-pool plans at 150 and 300 pools come to $300 and $600.
Accountability at the stop. Required readings, checklists, photos, and proof of service let you trust work you didn’t see. Pool Brain organizes this around service levels, and PoolProof adds approval thresholds and route rebalancing.
Dispatch and route changes. When a technician is out, you need to rebuild the week quickly. Test route optimization and reassignment on your real routes. Skimmer includes route optimization on Scaling Up and Enterprise, and Pool Brain offers it on web and mobile.
Office users and roles. Count office staff as well as technicians. Pool Brain includes unlimited office users and PoolDial includes unlimited users, while PoolProof prices by user.
Accounting and your data. Test the QuickBooks or Xero sync with your bookkeeper, and ask for a sample export before you move years of service history.
1. Skimmer

Best for: Track record, offline technician workflows, and Enterprise controls as you grow
3 techs · 150 pools: $300/mo · 5 techs · 300 pools: $600/mo. Checked Oct 29, 2026.
Skimmer is my first choice at three to five technicians for most owners because, once a whole crew depends on the app, I’d want the option with the strongest track record. Several technicians can work offline, and the office gets routes, service records, billing, and QuickBooks in one system. Enterprise controls for multi-location operations are there if you keep growing, and for a larger company I would choose it over Pool Brain. By its own count, more than 30,000 pool pros use it.
It isn’t the cheapest here. As checked October 29, 2026, the formula comes to $300 a month at 150 locations and $600 at 300, against Pool Brain’s $245 and $375. You are paying for track record, so decide whether that is worth the difference. Route optimization is included at this level, and AI Phone adds $99 a month. Have two technicians run real routes and rebuild a week after an absence, since dispatch is what this stage tests hardest.
2. Pool Brain

Best for: Service levels with required readings and technician accountability, at $50 a month plus $65 per technician
3 techs · 150 pools: $245/mo · 5 techs · 300 pools: $375/mo. Checked Oct 29, 2026.
Pool Brain ranks second and is the pick if accountability is your main problem. With five technicians, you can’t check every pool yourself, and its service levels make required readings and checklists part of each stop. Route optimization runs on web and mobile, office users are unlimited, and scheduled invoices, payment-decline retries, inventory, and truck and tool tracking handle much of what starts to slip at this size. Its founder’s pool-operations background shows in that focus.
Its cost advantage is clearest here. At $50 a month plus $65 per technician, checked October 29, 2026, three technicians cost $245 and five cost $375, while per-pool plans at 150 and 300 pools come to $300 and $600. Its main risk is adoption. Google Play showed 3.4 from 137 reviews against 4.9 from 27 on Capterra as of August 9, 2026, and the interface feels older to me. Skimmer’s page calls it harder to learn and support, which is a competitor’s claim to test. Configure one service level and have technicians use it for a day.
3. PoolDial

Best for: The lower end of this range, up to roughly 200 pools, with unlimited users
3 techs · 150 pools: $300/mo · 5 techs · 300 pools: $600/mo. Checked Sep 25, 2026.
PoolDial ranks third, and I’d be straight about the limits: it fits the lower end of this range, up to roughly 200 pools and a few employees. Past that, or if you plan several crews, start with Skimmer or Pool Brain. Where it does fit, a three-technician team gets unlimited users with team roles, included route optimization, offline field work, 24/7 AI phone answering, Cody, a customer portal, and QuickBooks Online or Xero sync. You can also reach me directly when something needs to change.
Price is not its advantage here. At $2 per pool, checked September 25, 2026, it comes to $300 a month at 150 pools and $600 at 300, the same as Skimmer and above Pool Brain’s $245 and $375. Paythepoolman and PSS also come in lower. It has less public review history than Skimmer or Pool Brain, with three five-star App Store ratings as of October 28, 2026. Choose it for the product and founder access, and only if its size range matches yours.
4. Paythepoolman

Best for: A tight budget: $50 a month plus $15 per technician
3 techs · 150 pools: $95/mo · 5 techs · 300 pools: $125/mo. Checked Aug 12, 2026.
Paythepoolman ranks fourth because it has by far the lowest bill on this page and a lot of tools a growing team can use. At $50 a month plus $15 per technician, checked August 12, 2026, you would pay $95 with three technicians and $125 with five. That is less than half of Pool Brain at both sizes. Payroll, fleet records, technician GPS, tasks, chemical billing, Orenda dosing, and SpinTouch imports are all on the list, so it is the budget option here if savings matter more to you than polish.
It sits below my two picks because a team of this size depends on the system every day, and there is more to verify. Some features are add-ons, custom-priced, new, or beta, so the price may not cover the whole list, and the QuickBooks Online integration is labeled beta. Public reviews were 3.7 from 11 on Capterra and 4.2 from 12 on Google Play on that date. I find the interface poor. Reconcile a real billing batch and run full routes first.
5. PoolProof

3 techs · 150 pools: $249/mo (Annual plan, up to 5 users) · 5 techs · 300 pools: $289/mo (Annual plan, 6 users). Checked Aug 14, 2026.
PoolProof ranks fifth, with a strong fit on paper and little outside evidence. It describes itself as built for growing and scaling pool companies, and its tools match what this stage needs: digital dispatching, route rebalancing when plans change, service plans, approval thresholds, inventory, and fleet tracking. Readings and dosing with LSI can be required by service plan. White-glove migration, configuration, and training could also take real work off an owner who has no spare time.
The annual plan, checked August 14, 2026, is $249 a month for five users plus $40 for each additional one. With one office user, that means $249 at three technicians and $289 at five, which is below Pool Brain’s $375 at the top of this range if you can pay annually; monthly billing starts at $299. The concern is proof. It had zero Capterra reviews on that date, and I have not spoken with its customers. Its founders say they have never run a pool service company. Rebuild a real week in a demo, including a technician absence.
6. ProValet

3 techs · 150 pools: $267/mo · 5 techs · 300 pools: $385/mo. Checked Aug 12, 2026.
ProValet ranks sixth because route operations are strong but the price is high for a team that only does pools. Dispatch, GPS, offline technician work, route optimization, and automated invoicing with two-way QuickBooks sync are listed, plus unlimited admins, so you don’t pay for each office login. Its homeowner app lets customers see visit proof, message you, pay, rate service, and tip technicians. If your team also runs lawn, pest, or other routes, it deserves a higher place on your own list.
At $149 a month including one technician plus $59 for each additional one, checked August 12, 2026, you would pay $267 at three technicians and $385 at five. That is above Pool Brain at both sizes, and well above Paythepoolman. Guided migration and personalized onboarding help a company moving years of records, but seven public reviews on that date are too few to judge it, and I don’t know the product deeply. Test readings and supply usage with your own technicians, and ask for a sample export.
These are illustrative estimates from published pricing, not quotes. User-priced plans assume one user per technician plus one office user. PoolDial counts serviced pools, Skimmer counts serviced locations, and PSS counts properties, each a body of water. PoolProof adds $40 a month per user beyond five, and PSS is shown without its 15% annual discount. Skimmer’s AI Phone adds $99 a month. Add payment processing and any add-ons before you compare.
How to choose
Put your top two or three through the same day of work instead of comparing feature lists:
- Price your current team and the team you expect in a year, including office users.
- Configure one service level with the readings and proof you require.
- Have two technicians run real routes, including a poor-signal stop.
- Rebuild a week after a technician absence and see how long it takes.
- Create an invoice, retry a failed payment, and test the QuickBooks or Xero sync with your bookkeeper.
Frequently Asked Questions
What is the best pool service software for 3 to 5 technicians?
I’d look at Skimmer or Pool Brain first. Skimmer is the established choice, with Enterprise controls for later growth. Pool Brain suits teams that want configured service levels and technician accountability, priced at $50 a month plus $65 per technician.
How much does pool service software cost for a 5-technician team?
For five technicians and 300 pools, published pricing works out to about $375 a month for Pool Brain, $600 for Skimmer or PoolDial, $385 for ProValet, and $125 for Paythepoolman. These are estimates, not quotes.
Is Skimmer or Pool Brain better for a growing team?
Skimmer has the longer track record, a large public review history, and Enterprise controls. Pool Brain has configured workflows and per-technician pricing that comes in lower from three technicians upward. For a larger company, I’d choose Skimmer over Pool Brain.
Can PoolDial handle 3 to 5 technicians?
It can fit the lower end of this range. PoolDial is currently the strongest fit for businesses up to roughly 200 pools and a few employees, with unlimited users. For more than that, or several crews, I’d look at Skimmer or Pool Brain first.
Is this guide independent?
No. PoolDial publishes it, and I founded PoolDial. That’s why each product comes with its tradeoffs, competitors rank above PoolDial where they fit better, and prices carry the date they were checked.
If your current system is working well, staying with it can be the right decision. For other situations, see the pool service software guide, or the guides for solo operators, new pool businesses, and 1 to 2 technicians.
