PoolProof Review 2026: Pricing, Operations Focus, and Fit

PoolProof is a newer pool service platform that emphasizes structured operations: dispatching, route rebalancing, service plans and areas, approval thresholds, and white-glove implementation. It describes itself as built for growing and scaling pool companies, and it suits teams that need more operating structure as routes, technicians, and office work become more complex.
I’m Parker Conley, the founder of PoolDial, which competes with PoolProof, so read this as a competitor’s review rather than an independent one. My personal take is labeled as opinion below.
What is PoolProof?
PoolProof covers recurring routes, scheduling, and technician field work; water readings, chemical usage, and service documentation; customers, equipment, service history, and portals; and quotes, work orders, invoices, payments, and QuickBooks (features).
PoolProof Inc. is built by The Operator Group. Its about page says its founders have built and scaled other companies but have never run a pool service company, and that it keeps a lean structure without venture-capital growth pressure (About PoolProof). Onboarding starts with a demo rather than a self-serve signup.
What PoolProof Looks Like
PoolProof pricing
PoolProof prices by user. The annual plan is $249 a month billed annually, including 5 users, plus $40 a month for each additional user; monthly billing starts at $299.
| Plan or stage | PoolProof |
|---|---|
| Annual planUp to 5 users | $249/moBilled annually |
| Monthly billingUp to 5 users | From $299/mo |
| Additional usersBeyond the first 5 | $40/mo each |
| Established team15 techs, annual plan | $649/moBefore volume pricing |
| Large operation50 techs, annual plan | $2,049/moBefore volume pricing |
Published pricing checked August 14, 2026; team figures are illustrative estimates, not quotes, assuming one user per technician and no extra office users. PoolProof invites companies with 10 or more techs to discuss unpublished volume pricing, so the 15- and 50-tech figures may be lower. White-glove migration, configuration, and training are part of onboarding. PoolProof pricing and onboarding
Strengths and tradeoffs
PoolProof’s strengths
- Digital dispatching and route rebalancing when plans change
- Service plans and areas that standardize pricing and processes
- Approval thresholds, inventory, fleet, and issue tracking
- Centralized communication and self-service customer signup
- White-glove migration, configuration, and team training
- A published volume-pricing conversation for 10+ technicians
Those signals support evaluating PoolProof for a larger team. Features · About PoolProof
Tradeoffs to check
- Onboarding is demo-led rather than self-serve
- The base price is $249 a month on the annual plan, even for a solo route
- Volume pricing for 10 or more techs is unpublished, so larger teams need a quote
- No meaningful public review history yet, as of August 14, 2026
- AI chat handles customer inbox messages; AI phone answering was not offered when our PoolDial comparison was first written
- International operators should verify currencies, units, taxes, payments, and accounting directly
Public reviews
PoolProof’s listings were checked August 14, 2026 on Capterra, which showed zero reviews, and the U.S. App Store, which did not have enough ratings to show an overview. Missing reviews are not a verdict either way; a live demo is the better test.
Founder’s take
I have not spoken with PoolProof customers or companies considering a switch. My recommendation of PoolProof for larger companies comes from a direct conversation with its team and from its public operating model, not customer evidence.
Both products were built by people from outside pool-company operations. I would evaluate PoolProof for a larger operation that wants more structured implementation and controls.
I built PoolDial for smaller pool companies that want a modern product, documented international settings, and direct access to the founder shaping it with them.
Who should use PoolProof?
- Larger or fast-growing teams that need dispatching and route rebalancing
- Multi-area companies that want service plans to standardize pricing and processes
- Owners who want approval thresholds, inventory, fleet, and issue tracking in one system
- Companies that want white-glove migration, configuration, and training
Before you buy, configure a real route, service plan, and required pool-stop process, then rebuild the week after a technician absence or weather disruption. Complete a stop with chemistry, photos, and proof, carry a repair through quote, invoice, payment, and QuickBooks, and price every technician and office user.

- Contracts, currency, and data
- PoolProof’s terms of service cover currency and data portability; read them and ask for a sample export.
