A connected chemical controller can measure, dose, store trends, and send data to a remote dashboard. None of those functions guarantees that the facility still has a complete operating record. A controller can keep dosing while the app is offline. The screen can show current values while the internal clock is wrong. A cloud graph can also be available even when a probe is drifting.

Define What Failed

Start by separating the system into layers. Record whether the local display is powered, readings are changing, feed outputs are operating, alarms are active, history is stored locally, and remote transmission is current. Note the controller time and compare it with real time.

Start the Manual Log Immediately

Use the facility's approved test method and the interval required by its jurisdiction. Record the time, manual results, controller display, chemical feed status, water temperature when relevant, corrective action, and operator initials. Do not backfill values later from memory.

Assign Ownership Before the Failure

The written plan should identify who declares an outage, who begins manual tests, who contacts the service vendor, who informs management, and who confirms recovery. Include after-hours numbers and the controller model, serial number, network details, and account owner.

A vague instruction to “call the pool company” is not enough for a public facility. The person on site needs to know whether the pool can remain open, which readings require immediate action, and who has authority to close it. Those thresholds must come from the facility's operating plan and local authority.

Troubleshoot Without Erasing Evidence

Photograph the display and communication status before rebooting. Export available logs. Record the last known good transmission and every step taken. Check ordinary external causes such as power, visible network status, cabling condition, account access, and correct time without changing chemical-control settings casually.

If a restart is authorized, record when it occurred and verify that timestamps, set points, alarms, feed outputs, and remote data all return correctly. A spinning sync icon is not a completed recovery test.

Reconcile the Gap

When communication returns, compare manual records with the local controller history and the cloud portal. Mark the outage window. Preserve manual values instead of replacing them with estimated points. Explain any disagreement and retain the service ticket.

Review whether the failure exposed a single point of failure. A facility may need a dedicated paper form, battery-backed clock, clearer notification, spare test supplies, or a second person trained to run the manual process.
