Commercial pool operators are required by health code in every state to maintain daily chemical logs documenting water testing results, chemical additions, and operational parameters. Failure to maintain adequate records can result in health code violations, fines, and facility closure orders. This spreadsheet provides a compliant daily log format with all required fields.

Required Documentation Fields

Health department inspectors typically require: date and time of each test, operator name, free chlorine level, combined chlorine level, pH, water temperature, and chemicals added with quantities. Additional fields that may be required depending on jurisdiction: total alkalinity, cyanuric acid, TDS, bather load, filter pressure, backwash records, and water clarity assessment.

Testing Frequency

Most jurisdictions require testing at minimum twice daily — before the facility opens and during peak use. High-bather-load facilities (water parks, hotel pools) may require testing every 2-4 hours. This spreadsheet supports multiple daily entries per date with time stamps for each test.

Record Retention

Chemical logs must typically be retained for 3-5 years depending on jurisdiction. Digital records (spreadsheets) are generally accepted by health departments in lieu of paper logs, provided they can be printed for inspection. Store backup copies in cloud storage to prevent data loss.
